Terms and conditions
The terms that apply to your booking and your visit.
1. Definitions
In these terms and conditions, the following definitions apply:
- Leisure company: Room Experience, located at Bogardeind 184, 5664 EN Geldrop.
- Customer: the natural person or legal entity entering into an agreement with Room Experience for the use of leisure facilities and/or services.
- Services: all leisure activities offered by Room Experience, the hire of equipment, accommodation and other related services.
- Agreement: the agreement between Room Experience and the customer regarding the provision of services.
2. Applicability
These terms and conditions apply to all offers, bookings and agreements relating to the services and facilities offered by Room Experience.
Deviations from these terms and conditions are only binding if agreed in writing between Room Experience and the customer.
Customers must always follow the instructions given by our staff. This is for the safety of everyone involved and to ensure the activities run smoothly.
3. Bookings, quotes and payments
Bookings can be made by telephone, in writing or via the website. After receipt of the booking, the customer will receive a confirmation. The agreement is concluded at the moment the customer receives this confirmation.
If a quote has been drawn up, it is valid for a maximum of 7 days.
4. Cancellation and amendment
A booking can only be cancelled or amended in writing or by telephone, in accordance with the conditions sent with the confirmation.
5. Liability
Participation in the activities is at your own risk. Room Experience is not liable for damage to or loss of personal property, unless there is intent or gross negligence on the part of Room Experience.
6. Supervision and participation
Children must be supervised by a responsible adult while using the facilities or taking part in activities.
Children under the age of 6 are not permitted to take part in the activities. They may stay in the reception area under the supervision of a parent.
Bringing your own food or drink is not permitted. The only exception is bringing pastries or a cake when booking a kids' party.
For activities such as a children's escape room, Pixel Play and laser tag, one parent may come along as a supervisor, but this person may not actively take part in the activity.
For the arcade hall, the following applies: everyone who enters the arcade hall must pay an entrance fee, whether or not they actively take part in the games.
7. Pets
Pets are allowed provided this has been agreed in writing in advance and in accordance with the house rules of Room Experience. Pets must be supervised by the customer at all times.
8. Opening hours and security
The opening hours of Room Experience are based on bookings. Services are only provided during the times booked by the customer, unless agreed otherwise.
Room Experience uses 24/7 CCTV surveillance. Visitors should be aware that they are being filmed during their stay on the premises and that these images may be used for security purposes.
9. Discounts and discount codes
It is never possible to redeem free products or make use of other promotions if a discounted rate already applies to the booked services or products.
Discount codes cannot be combined, unless explicitly stated otherwise by Room Experience. Each discount code can only be used once per transaction.
10. Food and allergies
Room Experience cannot guarantee that the food offered is free from allergens. Customers with food allergies or dietary restrictions are advised to inform Room Experience in good time.
Room Experience is not responsible for allergic reactions or health problems resulting from the consumption of food offered during activities or events.
11. Complaints
Complaints regarding the services of Room Experience must be submitted in writing to the management as soon as possible. Room Experience will respond to the complaint within 5 working days and will strive to find a suitable solution.
12. Privacy and data protection
Room Experience handles the customer's personal data in accordance with applicable privacy legislation (GDPR). The customer's data is used solely for the performance of the agreement and is not provided to third parties without the customer's consent, unless this is necessary for the performance of the agreement. 13. Access to the premises
Room Experience reserves the right to refuse access to the premises to persons who are under the influence of alcohol or drugs or who otherwise misbehave, without refunding any amounts already paid.
14. Photo and video recordings
Room Experience reserves the right to take photos and video recordings during activities for promotional purposes, unless the customer objects in writing in advance. Images created by Room Experience may be used for promotional purposes without further consent from the customer.
15. Force majeure
Room Experience is not liable for failing to fulfil its obligations due to force majeure. Force majeure is understood to mean: any circumstance beyond the control of Room Experience that permanently or temporarily prevents fulfilment of the agreement, such as extreme weather conditions, natural disasters, strikes, fire, government measures or transport disruptions.
16. Changes to the terms and conditions
Room Experience reserves the right to amend these terms and conditions at any time. Changes will be communicated to the customer in good time and apply to all future bookings.
17. Applicable law
Dutch law applies to all agreements between Room Experience and the customer. All disputes arising from the agreement will be submitted exclusively to the competent court in Eindhoven.
